Who we are
ZEDNEX AI ("ZEDNEX," "we," "our," or "us") is a communications platform as a service (CPaaS) company providing AI-powered voice agent technology for outbound and inbound calling campaigns. Our platform enables businesses to deploy AI voice agents that conduct real-time phone conversations.
This Privacy Policy applies to our website at zednex.ai, our dashboard, API, and all services we offer (collectively, the "Services"). It does not apply to third-party services or products that may be integrated with our platform.
For the purposes of data protection law, ZEDNEX AI acts as a data processor for call-related data on behalf of our customers, and as a data controller for data we collect about our customers directly.
Information we collect
We collect information in three ways: information you give us directly, information collected automatically when you use our Services, and information provided by our customers as part of running calling campaigns.
Account and registration information
- Name, email address, and password when you create an account
- Company name, phone number, and billing address
- Payment information (processed securely by our payment provider — we do not store card numbers)
- Job title and company size (optional, when provided)
Platform usage information
- Campaigns created, contact lists uploaded, and call flows configured
- Dashboard activity, feature usage, and session data
- API keys generated and API call logs
- Support requests and communications with our team
Technical information
- IP address, browser type and version, operating system
- Pages visited, time spent, and navigation patterns on our website
- Device identifiers and log data
- Referral source and UTM parameters
Contact data from customers
When customers use our platform to run calling campaigns, they upload contact lists containing phone numbers and associated contact information. This data is processed by ZEDNEX on behalf of the customer and is subject to the customer's own privacy obligations to their contacts.
How we use your information
We use the information we collect to provide, maintain, and improve our Services. Specifically:

Call data and recordings
Our platform processes real-time audio conversations as part of our core service. This section explains how call-related data is handled.
Call recordings
All calls made through the ZEDNEX platform are recorded by default. Recordings are stored securely and are accessible only to the account that initiated the campaign and to ZEDNEX for the purposes of support, compliance, and service improvement.
Our platform enforces automatic TCPA-required AI disclosure at the start of every call. The AI agent identifies itself as an AI before engaging in conversation. Customers cannot disable this disclosure.
Call summaries and transcriptions
Our platform automatically generates AI-powered summaries and transcriptions of call content. These are stored within your account dashboard and are not shared with third parties except as described in this policy.
Call metadata
We collect metadata about each call including: call duration, outcome (answered, voicemail, no answer), timestamps, phone numbers dialed, and transfer events. This data is used to power campaign analytics and reporting.
Contact party data
ZEDNEX acts as a processor on behalf of our customers for the personal data of individuals called through our platform. Customers are responsible for ensuring they have appropriate consent or lawful basis to contact individuals and for providing required disclosures under applicable law (TCPA, GDPR, etc.).
How we share your information
We do not sell personal information. We share information only in the following circumstances:
Service providers
We engage third-party companies to perform services on our behalf, including cloud infrastructure, payment processing, customer support software, and analytics. These providers access information only as necessary to perform their services and are bound by confidentiality obligations.
Legal requirements
We may disclose information if required by law, regulation, legal process, or governmental request — including to comply with subpoenas, court orders, or law enforcement requests. Where legally permitted, we will notify affected customers of such requests.
Business transfers
If ZEDNEX is involved in a merger, acquisition, or sale of assets, customer information may be transferred as part of that transaction. We will notify customers of any such change in ownership or control.
With your consent
We may share information for other purposes with your explicit consent.
Aggregated or de-identified data
We may share aggregated, anonymized information (for example, industry benchmarks or usage statistics) that cannot reasonably be used to identify any individual.
Data retention
We retain different types of data for different periods based on our operational needs and legal obligations.

When your account is closed, we will delete or anonymize your data within 90 days, except where retention is required for legal, regulatory, or fraud prevention purposes.
Security
ZEDNEX is SOC 2 Type II certified. We implement industry-standard technical and organizational measures to protect your data, including:
- Encryption in transit (TLS 1.2+) and at rest (AES-256)
- Role-based access controls (RBAC) limiting internal access to customer data
- Regular third-party security audits and penetration testing
- Multi-factor authentication for all internal systems
- Incident response procedures with defined notification timelines
- Secure software development lifecycle practices
Despite these measures, no security system is impenetrable. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

TCPA and calling compliance
ZEDNEX provides tools to help customers comply with the Telephone Consumer Protection Act (TCPA) and other applicable calling regulations. However, customers are ultimately responsible for ensuring their use of our platform complies with all applicable laws.

Customer responsibilities

Changes to this policy
